System Export

The System Export feature generates a complete export of all EQMS data for migration, backup, or compliance archival purposes. It is available to administrators under Admin > System Export.

To create a new export package:

  1. Navigate to Admin > System Export.
  2. Configure the export options (see below).
  3. Click Generate Export Package.
  4. Wait for the export to complete — a progress indicator is shown during generation.
  5. Once ready, click Download Export Package to save the file.

Two optional settings control what is included in the export:

Every export package contains data from the following entity types:

  • Users
  • Groups
  • Documents
  • Deviations
  • CAPAs
  • Training Records
  • Audit Trail

After a successful export, the results card shows:

  • File size of the generated package
  • Total records exported across all entities
  • SHA-256 checksum for verifying file integrity after download
  • Entity breakdown with counts per entity type (users, documents, deviations, etc.)

Previously generated exports are listed in the Export History section. For each past export you can:

  • Download — download the export file again
  • Delete — remove the export from the server (confirmation required)

Each entry in the history shows the file name, generation timestamp, and file size.

  • System migration — export all data before moving to a new environment
  • Regulatory backup — create periodic archives for compliance record-keeping
  • Disaster recovery — maintain off-site copies of all quality records
