Training Management
Training Management in InnoQualis EQMS provides a system for assigning, tracking, and completing training on controlled documents. It ensures that all personnel are trained on the procedures and policies relevant to their role, with full audit trail support and electronic signature compliance.
Key capabilities include:
- Training Matrix — A compliance-grade people-by-documents grid view, grouped by job function, showing training status across the organization.
- Group-based assignment — Assign training to entire groups (job function, department, site) instead of picking individual users.
- Document watermark — Training copies display a “TRAINING COPY” watermark so trainees can clearly distinguish controlled copies from originals.
- Auto-effective transition — When all required users complete training on a document, the document automatically transitions to Effective status.
View your training assignments
Section titled “View your training assignments”- On the left sidebar, select Training.
- Select the My Training tab.
- The table shows all your assignments with columns for course name, status, type, linked incident, due date, and progress.
Each assignment displays a progress bar: 0% for Assigned, 50% for In Progress, and 100% for Completed.
Complete a training assignment
Section titled “Complete a training assignment”- On the left sidebar, select Training.
- On the My Training tab, find the assignment you want to complete.
- Select Complete in the Actions column for that assignment.
- Review the document, complete any required assessments, and provide your electronic signature.
After completion, select View Certificate to download your training certificate.
Search training records
Section titled “Search training records”- On the left sidebar, select Training.
- In the toolbar search field, type a keyword to filter by document title, description, user name, status, or linked incident.
The search filters the current view in real time.
Switch to the All Training view
Section titled “Switch to the All Training view”- On the left sidebar, select Training.
- Select the All Training tab.
This tab shows training records for all users across the organization, including a Training Statistics summary card with total assigned, completed, overdue, and completion rate.
Assign one-off training
Section titled “Assign one-off training”- On the left sidebar, select Training.
- In the toolbar, select Assign Training.
- From the dropdown, select One-Off Assignment.
- Choose the user, document, and provide the incident context.
- Submit the assignment.
Assign training in bulk
Section titled “Assign training in bulk”- On the left sidebar, select Training.
- In the toolbar, select Assign Training.
- From the dropdown, select Bulk Assignment.
- Select the documents and users to include in the assignment.
- Submit the bulk assignment.
Start an onboarding pack
Section titled “Start an onboarding pack”If you have active onboarding pack assignments, they appear at the top of the Training page in an Onboarding Packs section.
- On the left sidebar, select Training.
- In the Onboarding Packs section, find your assigned pack.
- Select Start Pack.
- Review each document listed in the pack by selecting its link.
- After completing all documents, select Mark as Completed.
View notification history
Section titled “View notification history”- On the left sidebar, select Training.
- In the toolbar, select View Notification History.
This shows a history of training notification emails sent. Select the button again to hide the panel.
Export training data
Section titled “Export training data”- On the left sidebar, select Training.
- In the toolbar, select Export.
- Choose the export format.
Training types

Practical example: onboarding a new QC analyst
Section titled “Practical example: onboarding a new QC analyst”Scenario: A new Quality Control analyst, Maria Santos, joins your medical device manufacturing team and needs training on five core SOPs before she can work independently.
- On the left sidebar, select Training, then select Assign Training > Bulk Assignment.
- In the Select Documents panel, select the five SOPs: SOP-QC-001 (HPLC Operation), SOP-QC-002 (Sample Preparation), SOP-QC-003 (Reference Standards), SOP-QC-004 (Out-of-Spec Investigations), and SOP-QC-005 (Data Integrity).
- In the Select Users panel, select Maria Santos.
- Under Assignment Settings, set the Due Date to 2 weeks from today.
- Select Assign Training (5 docs x 1 user).
- Maria sees all five assignments on her My Training tab, each showing 0% progress.
- She opens SOP-QC-001, reviews the document, completes the quiz (scoring 90%), and provides her electronic signature. The progress bar updates to 100% for that assignment.
- After completing all five, she selects View Certificate for each to download her training records.
- An administrator on the All Training tab sees Maria’s completion rate at 100% in the Training Statistics summary.
