Getting Started
InnoQualis EQMS is a web-based quality management system accessible from any modern browser. This guide covers logging in, navigating the interface, searching for records, and setting display preferences.
Log in to InnoQualis EQMS
Section titled “Log in to InnoQualis EQMS”- Open your browser and go to the InnoQualis EQMS URL provided by your administrator.
- On the login page, in the Email field, enter your email address.
- Select Get Verification Code to receive a 6-digit verification code via email.
- In the Verification Code field, enter the 6-digit code sent to your email.
- Select Sign In.
You are redirected to the Dashboard.
If you do not have an account, select Create workspace at the bottom of the login page to start the signup wizard.
Navigate the application
Section titled “Navigate the application”The application uses a left sidebar on desktop and a hamburger menu on mobile devices.
Use the sidebar
Section titled “Use the sidebar”On the left sidebar, navigation links are organized into four groups:

At the bottom of the sidebar, a General section contains Settings and Logout.
The Training link displays a red badge with the count of your pending training assignments.
The links visible to you depend on your role and permissions. If a link is not visible, you do not have access to that module.
To collapse the sidebar, select the Collapse button at the bottom of the sidebar. To expand it again, select the chevron icon.
Use the top bar
Section titled “Use the top bar”The top bar is always visible and contains the following controls, from left to right:
- Search bar (desktop) — Select the search bar or press
Ctrl+Kto open the command palette. - Search icon (mobile) — Opens the same command palette.
- Theme toggle — Select the sun or moon icon to switch between light and dark mode. Your preference is saved automatically.
- Notification bell — Shows your unread notification count. Select to open the notification dropdown.
- Help (
?icon) — Opens the Help Center popup with step-by-step instructions for common tasks. If you cannot find what you need, you can contact support directly from the popup. - User avatar — Select to open the user menu with links to Profile, Settings, and Logout.
Navigate on mobile
Section titled “Navigate on mobile”On screens narrower than 1024px the sidebar is replaced by a hamburger menu icon in the top-left corner. Selecting it opens a navigation sheet that slides up from the bottom of the screen, where your thumb already is.
- Select the hamburger menu icon.
- In the sheet, find the module you want. Links are grouped under the same four headings as the desktop sidebar — Menu, Quality, Workflows, and System — in the same order, so what you learn on a desktop still applies on a phone.
- To narrow a long list, type in the Filter sections box at the top of the sheet. Group headings stay visible while you filter, so a match never loses the context that tells you what it is.
- Select a link. The sheet closes and the page loads.
Settings and Logout appear at the bottom of the sheet. On desktop those live in the sidebar footer, which does not exist on mobile — without them here they would be unreachable on a phone.
To close the sheet without navigating, press Escape, select the X, or select outside the sheet. While the sheet is open, keyboard focus stays inside it and the page behind does not scroll.
Search and act with the command palette
Section titled “Search and act with the command palette”Pressing Cmd + K (macOS) or Ctrl + K (Windows/Linux) opens the command palette — a single box for both finding a record and starting a task.
- Press
Cmd + K/Ctrl + Kfrom any page. - Type what you want.
- Actions are listed first: New deviation, Upload document, New CAPA, and the equivalent for every module you can reach. You do not have to know the route.
- Records follow: documents, deviations, CAPAs, equipment, audits, suppliers and more, matched as you type.
- Move through results with the arrow keys and press
Enterto run the highlighted one, or select it with the mouse. - Press
Escapeto close. Focus returns to whatever you were on before the palette opened.
Document results include semantic matches — documents whose meaning fits your query even when they do not contain your exact words. Those results are labelled so you can tell a meaning match from a title match.
Selecting a result navigates within the application rather than reloading the page, so your place and your loaded data are preserved.
Switch between light and dark themes
Section titled “Switch between light and dark themes”- In the top bar, select the sun or moon icon (theme toggle).
Your theme preference is saved in your browser and persists across sessions. If no preference is set, the system follows your operating system’s color scheme.
View and manage notifications
Section titled “View and manage notifications”- In the top bar, select the bell icon. The bell displays a red badge with your unread count (up to 99).
- In the dropdown, review your 10 most recent notifications. Unread notifications are highlighted.
- To navigate to a related record, select the notification.
- To clear all unread indicators, select Mark all read.
- To see your full notification history, select View All Notifications.
Practical example: first-time navigation after login
Section titled “Practical example: first-time navigation after login”After logging in for the first time, a new user orients themselves:
- Review the sidebar. The sidebar shows Dashboard, AI Assistant, Documents, Training, and other modules. The Training link shows a red badge with 2, indicating two pending training assignments.
- Open Training. She selects Training in the sidebar and sees two assigned courses: “GMP Fundamentals” and “Document Control SOP.” She selects “GMP Fundamentals” to begin.
- Use the command palette. After completing training, she presses
Ctrl+Kand types “SOP-001” to find a specific procedure her manager mentioned. The palette returns the document, and she pressesEnterto view the latest approved version. - Switch to dark mode. She selects the sun icon in the top bar to switch to dark mode for easier reading.
- Check notifications. The bell icon shows 1. She selects it and sees a notification confirming her training completion was recorded.
From this point, the Dashboard becomes her daily starting point for reviewing assigned work and deadlines.
