Equipment Management

Equipment Management provides a centralized system for registering, tracking, and maintaining all equipment assets. It covers the full equipment lifecycle from registration through active use, calibration, maintenance, and retirement.

View the equipment list

1. On the left sidebar, select Equipment.
2. Review the equipment table, which shows each item’s ID, name, location, category, type, status, criticality, calibration schedule, and maintenance schedule.
3. To narrow results, use the Filters card above the table:
   • Enter text in the Search equipment… field to search by name, ID code, location, or serial number.
   • Select a value from the All Statuses dropdown to filter by equipment status.
   • Select a value from the All Categories dropdown to filter by category.
   • Select a value from the All Types dropdown to filter by equipment type.
   • Select a value from the All Equipment dropdown to show Regulated Only or Non-Regulated Only items.

Tip

Combine the search field with the status and category dropdowns for precise results. Filters apply in real time as you change selections.

Example: Finding all active laboratory equipment due for calibration

Scenario: You need to identify which laboratory instruments are currently active and may need calibration this month.

1. Navigate to Equipment from the left sidebar.
2. In the All Categories dropdown, select Laboratory.
3. In the All Statuses dropdown, select Active.
4. Review the Calibration column in the results table — items with upcoming due dates are shown with orange warning indicators.
5. To further narrow results, type a keyword such as “HPLC” or “balance” in the Search equipment… field.
6. Select the eye icon on any row to open the full equipment detail page, where you can review calibration history and maintenance records.

Register new equipment

1. On the left sidebar, select Equipment.
2. Select Add Equipment in the top-right corner.
3. Fill in the equipment details: name, ID, location, category, type, criticality, regulatory classification, serial number, manufacturer, model, and calibration/maintenance schedules.
4. Select Save to register the equipment.

View equipment details

1. On the left sidebar, select Equipment.
2. In the equipment table, select the eye icon on the row you want to inspect.
3. Review the equipment detail page, which shows the full record including calibration history and maintenance history.

Edit an equipment record

1. On the left sidebar, select Equipment.
2. In the equipment table, select the pencil icon on the row you want to update.
3. Modify the fields you need to change.
4. Select Save to apply your changes.

Note

The pencil icon appears only if you are the equipment creator or an Admin.

Equipment table columns

Column	Description
Equipment ID	Unique identifier code.
Name	Equipment name with serial number shown below (if available).
Location	Physical location of the equipment.
Category	Color-coded badge: Laboratory, Manufacturing, Quality, or Utilities.
Type	Color-coded badge: Analytical, Measuring, Production, or Utility.
Status	Color-coded badge: Active, Inactive, Retired, or Under Maintenance.
Criticality	Color-coded badge: Critical, High, Medium, or Low.
Calibration	Calibration record count and next due date.
Maintenance	Maintenance record count and next due date.
Actions	View and Edit buttons.

Equipment statuses

Status	Meaning
Active	Equipment is in service and operational.
Inactive	Equipment is not currently in use.
Retired	Equipment has been permanently decommissioned.
Under Maintenance	Equipment is temporarily out of service for maintenance.

Criticality levels

Level	Meaning
Critical	Failure would have severe impact on product quality or safety.
High	Failure would significantly impact operations.
Medium	Failure would moderately impact operations.
Low	Failure would have minimal impact.

Permissions

Action	Who can do it
View equipment list	Any authenticated user.
View equipment details	Any authenticated user.
Add new equipment	Any authenticated user.
Edit equipment	Equipment creator or Admin.
