Completing Training

Complete a training assignment by reviewing the document, passing the assessment, optionally submitting competency evidence, and providing an electronic signature.

  • You must be the assigned trainee.
  • The training must not already be completed.
  • You must be logged in.
  1. On the left sidebar, select Training.
  2. In the My training view, find your training assignment and select its row.
  3. In the row for the assignment, select Complete.

The training completion wizard opens, showing your assignment details: document title, version, description, assigned date, and due date.

The wizard displays a two-step progress indicator: Review Document and Assessment.

The document is displayed with a “TRAINING COPY” watermark overlaid on every page. This watermark clearly identifies the document as a training copy and is visible throughout your review.

  1. For PDF documents, use the carousel controls to navigate through all pages in the embedded viewer.
  2. For non-PDF documents, select Download Document to review the file externally.
  3. For an SOP authored directly in the app (an in-app SOP, with no attached file), the document’s content is rendered on the page. Read it, then select I have read this document to record your acknowledgement.
  1. After you view all pages (or acknowledge an in-app SOP), select Continue to Assessment.
  1. Read the confirmation checklist:
    • I have read and understood the document content
    • I understand my responsibilities related to this training
    • I will comply with all procedures outlined in the document
    • I understand the consequences of non-compliance
  2. Select the I confirm that I have reviewed and understood the training material checkbox.
  3. Select Start Assessment.
  4. For each question, select one answer from the options.
  5. Select Next Question to advance. On the final question, select Submit Assessment.

A progress bar shows your position (for example, “Question 2 of 3”).

After submission, the system shows whether you passed or failed and the number of correct answers.

If your assignment has the Requires Evidence flag, a modal appears after you pass the assessment.

  1. In the Evidence Description field, enter a description of the evidence you are submitting.
  2. Select Click to upload files and choose one or more files from your computer.
  3. Optionally, enter a caption for each uploaded file.
  4. Select Submit Evidence.
  1. Select Complete Training with Signature.
  2. In the signature modal, verify the action displayed: “Confirm completion of training for [Document Title]”.
  3. Click Get Verification Code to receive a 6-digit code via email.
  4. Enter the 6-digit verification code.
  5. Select Complete Training.

After successful completion, a success message confirms your signature was recorded. If your assignment does not require a supervisor sign-off, the message reads “Training completed successfully!” and a training certificate popup modal appears — you can download the certificate as a PDF, or access it later from the training record. You are then redirected to the Training page.

If your assignment does require a supervisor sign-off (see below), the message instead reads “Submitted for supervisor sign-off” — your signature is recorded, but the assignment is not yet a completed record.

Some competency-training assignments are configured to require an independent supervisor sign-off in addition to your own signature (requires_supervisor_signature). For these assignments:

  • Your own completion submits the record for review — it does not, by itself, mark the training as compliantly complete. A trainee can never sign off their own supervised assignment; only the person named as its assigned supervisor can.
  • The record shows as Pending supervisor sign-off (not Completed) in the training register and on the completion page until the supervisor acts.
  • The assigned supervisor reviews and signs off from Supervisor Approval (/training/supervisor-approval) — see the Competency Evidence page for the reviewer-side workflow, including rejection and resubmission.
  • Only once the supervisor signs off does the record count toward training compliance statistics, and only then can a document gated on this training auto-transition to Effective.
StateMeaning
Document not viewedYou must scroll through all pages before proceeding
In-app SOP not acknowledgedSelect I have read this document after reading the rendered content
Assessment not startedSelect Start Assessment after confirming the review checklist
Assessment failedReview the material and select Retake Assessment
Evidence not submittedSubmit required evidence files before signing
Ready for signatureAll prerequisites met — select Complete Training with Signature
Pending supervisor sign-offYou submitted your signature, but this assignment requires the assigned supervisor to also sign off before it counts as complete
CompletedTraining is recorded with timestamp and electronic signature (and, if required, supervisor sign-off)
RejectedYour supervisor rejected submitted evidence. See the Competency Evidence page to review the reason and resubmit.

If you navigate to a training assignment that was already completed, the system displays the completion date and a link back to the training list. If it is still awaiting a required supervisor sign-off, it instead shows that it was submitted and is pending review.

“You don’t have permission to complete this training assignment” Only the assigned trainee can complete their own training. You cannot complete training assigned to another user.

“Please complete the training quiz before signing off” Pass the assessment before the signature button is enabled.

Assessment keeps failing Review the training document carefully, paying attention to key procedures and requirements. The quiz questions are derived from the document content.

Example: Completing a Training Assignment for a New SOP

Section titled “Example: Completing a Training Assignment for a New SOP”

You have been assigned training on “Cleaning Validation SOP - Manufacturing Area B” (v2.0). Here is how to complete it.

  1. Select Training in the sidebar. In the My training view, find the assignment for “Cleaning Validation SOP - Manufacturing Area B” and select its row.
  2. The wizard opens showing the document details, including the due date. The document is a PDF, so it displays in the embedded viewer.
  3. Use the carousel controls to read through all 12 pages. The progress bar updates as you navigate (e.g., “8 / 12 pages viewed”). The Continue to Assessment button remains disabled until you view all pages.
  4. After viewing all pages, select Continue to Assessment.
  5. Check all four confirmation items in the review checklist, then select the confirmation checkbox and select Start Assessment.
  6. Answer each question based on what you read in the SOP. For example, Question 1 might ask about the acceptance criteria for cleaning agent residue levels. Select your answer and select Next Question.
  7. After submitting all answers, the system shows your result. If you scored 80% or above, you pass. If not, review the SOP again and select Retake Assessment.
  8. Once you pass, select Complete Training with Signature. In the signature modal, click Get Verification Code, enter the 6-digit code sent to your email, and select Complete Training.

Your training record is now complete with an electronic signature and timestamp for 21 CFR Part 11 compliance.
