Periodic Reviews

Periodic reviews ensure that quality management documents are regularly assessed for accuracy, relevance, and compliance. Set review intervals on individual documents and track when the next review is due.

  1. On the left sidebar, select Documents.
  2. Select a document to open it.
  3. On the document detail page, locate the Periodic Review Settings card.
  4. In the Review Interval (days) field, enter the number of days between reviews.
    • Common intervals:
      • 90 — quarterly review
      • 180 — semi-annual review
      • 365 — annual review
  5. Select Save Review Interval.
  6. A success message confirms the interval has been saved.
  7. The Next Review Due date updates automatically.

On the Periodic Review Settings card, the following dates are displayed when available:

Review Interval (days)How often the document should be reviewed, in days.
Last Review DateThe date of the most recent review. Only shown if a review has been completed.
Next Review DueThe calculated date when the next review should take place. Only shown after a review interval has been configured.
  • The Last Review Date is updated by the system when a review is completed.
  • The Next Review Due date is calculated by adding the review interval to the last review date. If no review has been completed yet, the next review date is calculated from when the interval was first set.
  • The review interval must be greater than 0.
  • If you enter 0 or a negative number and select Save Review Interval, a “Review interval must be greater than 0” error message appears.
  • The Save Review Interval button shows “Saving…” while the request is processing and is disabled to prevent duplicate submissions.

Practical example: setting up annual review for a quality policy

Scenario: Your Quality Policy (QP-001) became effective on 1 March 2026 and must be reviewed annually per your quality management system requirements.

  1. On the left sidebar, select Documents and open QP-001.
  2. Locate the Periodic Review Settings card on the document detail page.
  3. In the Review Interval (days) field, enter 365.
  4. Select Save Review Interval.
  5. The Next Review Due date updates to 1 March 2027.
  6. When March 2027 approaches, the QA team reviews QP-001 for accuracy. If the policy is still current, they confirm it with no changes. If updates are needed, they create a new version through the standard approval workflow.
  7. After the review is completed, the Last Review Date updates and the next review is recalculated to 1 March 2028.

For higher-risk documents such as a Sterility Assurance SOP, set the interval to 180 (semi-annual) to ensure more frequent assessments.
