Bulk Signature Requests

The Bulk Signature Request feature allows you to request electronic signatures from multiple users for multiple documents in a single operation. This is particularly useful when new documents are released and require acknowledgement or approval from a group of people.

To create bulk signature requests:

  1. Navigate to Signatures from the main menu
  2. Click the Request Signatures button at the top of the page
  3. The Bulk Signature Request page opens

The bulk request process involves three steps: selecting documents, selecting recipients, and choosing the signature action.

The left panel displays all documents with an “effective” status that are available for signature requests. For each document, you can see:

  • Document title
  • Description
  • Version number
  • Status badge

To select documents:

  • Click on individual document cards to toggle selection
  • Use the Select All / Deselect All button to select or clear all documents at once
  • The header shows how many documents are currently selected

The right panel displays all eligible users who can provide signatures. Admin users are automatically excluded from the list. For each user, you can see:

  • Full name
  • Email address
  • Role badge

To select recipients:

  • Click on individual user cards to toggle selection
  • Use the Select All / Deselect All button to select or clear all users at once
  • The header shows how many recipients are currently selected

In the Request Settings section, select the type of signature action from the dropdown:

Before sending, the summary panel displays:

Click the Send Signature Request(s) button to submit all requests. The button label shows the total number of requests that will be sent.

After sending, a results panel appears showing the outcome of each individual request:

  • Sent (green) — The signature request was successfully created and sent to the user
  • Error (red) — The request failed, with an error message explaining why

The results header shows a summary badge with the count of successful and failed requests.

After bulk requests are sent:

  1. Each selected recipient receives a pending signature request for each selected document
  2. Pending signatures appear in each recipient’s Pending Signatures Queue on the Signatures page
  3. Recipients can sign each request individually
  4. You can verify completed signatures at any time
