Signing Process
The signing process allows you to review a document or record and apply your electronic signature. The system supports both desktop and mobile signing, with a dedicated drawing canvas available on mobile devices.
Signing a Document
Section titled “Signing a Document”To sign a pending signature request:
- Navigate to Signatures from the main menu
- Locate the pending signature in the list or the Pending Signatures Queue
- Click the Sign button to open the signing page
- Review the signature request details
- Complete the signature requirements checklist
- Click Provide Electronic Signature
- Authenticate in the signature modal to confirm your identity
Signature Request Details
Section titled “Signature Request Details”The signing page displays the following information for your review:

| Document Title | The name or meaning of the document/record being signed |
| Status | Whether the request is Pending or already Signed |
| Resource Type | The type of record (e.g., document, capa_action) |
| Action Required | The specific action being performed (e.g., approve, acknowledge) |
| Requested On | The date the signature was requested |
Document Review
Section titled “Document Review”A document content preview section is displayed so you can review what you are signing. Review the content carefully before proceeding.
Signature Requirements Checklist
Section titled “Signature Requirements Checklist”Before you can provide your signature, you must confirm the following:
- I have reviewed the document content — Confirms you have read the material
- I understand my responsibilities and the implications of this signature — Confirms you understand the significance
- I agree to comply with all requirements outlined in this document — Confirms your commitment to compliance
Electronic Signature Modal
Section titled “Electronic Signature Modal”After clicking “Provide Electronic Signature,” a modal dialog appears where you authenticate your identity. This step ensures non-repudiation by confirming that the person providing the signature is the authenticated user.
Mobile Signatures
Section titled “Mobile Signatures”On mobile devices, the system provides a touch-optimized signing experience with a drawing canvas for handwritten signatures.
Mobile Signing Process
Section titled “Mobile Signing Process”- The mobile signature interface displays the document title and signer name
- Use your finger or stylus to draw your signature on the canvas
- Review the signature preview that appears below the canvas
- Verify your signer information (name, date, time, device type)
- Click Sign Document to submit
Mobile Signature Controls
Section titled “Mobile Signature Controls”| Control | Description |
|---|---|
| Clear | Erases the current signature from the canvas so you can redraw |
| Cancel | Cancels the signing process and returns to the previous page |
| Sign Document | Submits the drawn signature (disabled until a signature is drawn) |
Signer Information
Section titled “Signer Information”The mobile interface automatically captures and displays:
- Name — Your full name from your user profile
- Date — The current date
- Time — The current time
- Device — Whether you are signing from a mobile device or desktop
After Signing
Section titled “After Signing”Once you successfully provide your electronic signature:
- The signature is recorded with your identity, timestamp, IP address, and user agent
- For CAPA action signatures, the associated CAPA action status is updated to completed
- The signature status changes from Pending to Signed
- You are automatically redirected back to the Signatures list
